Transfers

Transfers in the sidebar is where the day starts. The list shows every title transfer in the office, what stage each one is at, and which ones have been sitting too long. Opening one shows its forms, its documents and what it still needs.

The Transfers list: transfers grouped by date, with search, status chips, the Age and Status columns, and the New Transfer button at the top right.

Dealer Transfers in the sidebar is the same screen for dealer title work. Everything on this page applies to it; only the button names change (“New Dealer Transfer”).

The top of the Transfers list: the transfer count, the "stalled over 90 days" line, the search box, the status chips with their counts, the list/board switch and the New Transfer button.

  • Search box: matches the transfer number, the VIN and the client’s name. The last four of the VIN is usually enough.
  • Status chips: show only the transfers in that status. Each carries a count, and you can turn on more than one at once. While a chip is on, the search only looks inside it.
  • List / board switch: the two icons left of New Transfer. The board shows one column per status, and you move a transfer by dragging its card. The screen remembers which view you were in.
  • Column settings: the icon at the right end of the table header. Choose which columns you see and in what order.
On screenWhat it means
PendingCreated, nothing filed yet. Amber.
In ProgressFiled with the county and waiting on them. Blue.
CompletedTitle issued and the trámite closed. Green. An older transfer may read “Closed”, which is the same thing.
RejectedThe county sent it back. Red. Open it to see why, fix it and refile.
AgeWhole days since the transfer was created, not since you last touched it. It keeps counting until the transfer is Completed or Rejected.
aging past 14 daysThe line under the heading. How many transfers are older than 14 days.
stalled over 90 daysReplaces the aging line once anything is over 90 days old. Start with those.
VehicleYear, make and model from the 130-U, with the last four of the VIN underneath. “N/A” means the 130-U hasn’t been read yet.
Speech bubble and clipboardOn the right of a row: how many notes and how many open tasks the transfer has.
Lock on a rowThe transfer is already in a package, so it can’t be ticked.

Tick the rows you want to send to the county together. A bar appears at the bottom with Create Package. A package holds up to 10 transfers, and a transfer that is already in a package can’t be ticked. The × next to the button clears the selection.

A transfer ticked and the bar at the bottom reading "1 selected" beside the blue Create Package button.

The wizard has three steps: Transfer Setup, Upload Documents and Review & Finish. The bar across the top shows where you are, and Back returns to an earlier step without losing what you entered.

  1. On the Transfers list, press New Transfer at the top right.

  2. Under Title Type, choose Clean & Rebuilt or Salvage.

The Transfer Setup step with the Title Type section open, showing Clean & Rebuilt and Salvage (tagged BETA), and Process Type and Select Estimate below.

  3. Under Process Type, choose what the customer is asking for: Title & Registration, Title Only or Registration Only. Nothing on the title tells you this, so ask them.

The Process Type section open with Title & Registration, Title Only and Registration Only, and the chosen title type shown as a chip beside Title Type.

  4. Under Select Estimate, pick the estimate this transfer belongs to. Search by estimate number, client, vehicle or VIN. If there is none yet, press Create New Estimate; Create & Continue saves it and brings you back here. If the estimate’s client is also the applicant, tick the box at the bottom.

The Select Estimate section with EST-583 selected, the estimate table, Create New Estimate, and the checkbox 'Client "Isvanis Cabrera Gonzalez" is the applicant'.

  5. Press Continue. It stays off until both types are chosen; the estimate is optional.

  6. On Upload Documents, drop the customer’s papers onto the box, or click it to browse. It takes PDF, JPG and PNG. The ? next to the title lists the documents you’ll usually need.

The upload area: the Drop files here box on the left and the Scan with TitleAI app QR code on the right.

No scanner? Scan the QR code with your phone and photograph the papers there. They arrive on this screen. Keep the window open while you do it.

  7. Press Continue. TitleAI reads the documents and fills the forms. With nothing uploaded, the button reads Enter manually and you type the forms yourself.

  8. On Review & Finish, check each form against the papers in your hand. There is one tab per form; a tab with an amber triangle hasn’t been opened yet. The Review Checklist opens on its own and lists what is missing or wrong. Go to field takes you to each one.

Review & Finish: the 130-U, VTR-61 and TS-12 tabs at the top left, the last two with an amber triangle because they haven't been opened, the filled 130-U in the middle, and the Review Checklist on the right with passed, to review and failed counts.

  9. The main button walks you through the tabs (“Next: TS-12”). On the last tab it becomes Submit. Submit stays off until you have opened every tab and the forms are valid.

The bottom of Review & Finish on the last tab: the page dots and the Submit button.

Find the transfers that are falling behind

Section titled “Find the transfers that are falling behind”
  1. Read the line under the Transfers heading. If it says anything is stalled over 90 days, start there.

  2. Turn on the In Progress chip to see only what is filed and waiting on the county.

  3. Read down the Age column. It counts from the day the transfer was created, so the biggest numbers are the ones to chase.

  1. Type into the search box. The transfer number, the VIN or the client’s name all work. If a status chip is on, turn it off first so the search covers everything.

  2. Click the row to open the transfer.

Opening a transfer shows its forms down the left tabs, a preview of the selected form in the middle, and its tools across the top.

A transfer open on its 130-U: the transfer number, client, vehicle and VIN in the header, the type and status pills, Add to Package, and the header icons.

The transfer header: Title & Registration and Pending pills, Add to Package, and the icons for adding a document, notes and tasks, the review checklist, uploaded documents and details. Below it, the 130-U, TS-12 and Record tabs.
