New Residents

New Residents in the sidebar holds the registrations for vehicles that came from another state with their owner. There is no title to hand over and no seller, so the wizard is shorter than a transfer’s: you upload the customer’s papers and check two forms, the 130-U and the TS-12.

The New Residents list: registrations grouped by date with the Registration, Client, Vehicle, Age and Status columns, and the New Registration button at the top right.

The top of the New Residents list: the registration count, the "registrations aging past 14 days" line, the search box, the All, Pending, In Progress, Completed and Rejected chips with their counts, the list/board switch and the New Registration button.

  • Search box: matches the registration number, the vehicle and the client’s name.
  • Status chips: show only the registrations in that status. Each carries a count, and you can turn on more than one at once.
  • List / board switch: the two icons left of New Registration. The board shows one column per status, and you move a registration by dragging its card. The screen remembers which view you were in.
  • Column settings: the icon at the right end of the table header. Choose which columns you see and in what order.

The New Residents board: Pending, In Progress, Completed and Rejected columns, with the registration cards under Pending and an "oldest 80d" tag on its heading.

aging past 14 daysThe line under the heading. How many registrations are older than 14 days.
Speech bubble and clipboardOn the right of a row: how many notes and how many open tasks the registration has.

The wizard has two steps: Upload Documents and Review & Finish. It opens straight on the upload, and nothing is filed until you press Submit.

  1. On the New Residents list, press New Registration at the top right.

  2. Drop the customer’s papers onto the box, or click it to browse. It takes PDF, JPG and PNG.

The Upload Documents step: the Drop files here box on the left and the Scan with TitleAI app QR code on the right.

The ? next to the title lists what to bring: the vehicle inspection report, the proof of insurance and the applicant’s photo ID. With no title to read, the vehicle’s details come from the inspection report.

The list behind the question mark: Vehicle inspection report (VIR), Proof of insurance, and Applicant's government-issued photo ID.

No scanner? Scan the QR code with your phone and photograph the papers there. They arrive on this screen. Keep the window open while you do it.

  3. Press Continue. TitleAI reads the documents and fills the forms. With nothing uploaded, the button reads Enter manually and you type the forms yourself.

  4. On Review & Finish, check each form against the papers in your hand. There is one tab per form; a tab with an amber triangle hasn’t been opened yet. The Review Checklist opens on its own and lists what is missing or wrong. Go to field takes you to each one.

Review & Finish: the 130-U and TS-12 tabs at the top left, the filled 130-U in the middle, and the Review Checklist on the right with passed, to review and failed counts.

  5. Check the 130-U. TitleAI ticks Registration Purposes Only, the new resident tax and the application fee for you, and fills box 19 (the applicant’s county) when nothing on the papers does. You can still change any of them on the form.

The 130-U filled from the documents: Registration Purposes Only ticked at the top, the vehicle, applicant and address boxes filled, and the $90 New Resident Tax and the $28 or $33 Application Fee ticked in the tax section.

  6. Press Next: TS-12 and check it. It comes filled from the 130-U and your office’s details, with Purchase Registration ticked.

The TS-12 tab: the authorization letter with the applicant's name, your title service, Purchase Registration ticked, and the vehicle description filled.

  7. On the last tab the main button becomes Submit. It stays off until you have opened both tabs and both forms are valid. The registration opens once it is created.

The bottom of Review & Finish on the TS-12 tab: the page dots and the Submit button, still greyed out.

Find the registrations that are falling behind

Section titled “Find the registrations that are falling behind”
  1. Read the line under the New Residents heading. It counts the registrations older than 14 days.

  2. Turn on the In Progress chip to see only what is filed and waiting on the county.

  3. Read down the Age column. It counts from the day the registration was created, so the biggest numbers are the ones to chase.

Opening a registration shows its forms down the left tabs, a preview of the selected form in the middle, and its tools across the top.

A registration open on its 130-U: the registration number, client, vehicle and VIN in the header, the status pill, Add to Package, and the header icons.

The registration header: Registration #11, the client, the vehicle and the VIN on the left; the Pending pill, Add to Package, and the icons for adding a document, notes and tasks, the review checklist, uploaded documents and details on the right.
